Data Privacy

This policy explains what information Gethen Intelligence collects through this website and through delivering services to clients, and how it's used. It does not cover third-party sites we link to.

1. What this site collects

This website itself is static — it doesn't run analytics or advertising trackers, and it doesn't set marketing cookies. If you email us or reach out through a link on this site, we receive whatever you choose to send (name, email address, business details, and the content of your message).

2. What we collect during an engagement

Once you become a client, depending on the services engaged, we may collect:

  • Business information (website, listings, services, contact details).
  • Content you provide for automations to use (documents, knowledge base material, brand voice examples).
  • Data generated by deployed agents (call transcripts, chat logs, leads processed, appointments booked).
  • Connected-account data needed for a specific automation (e.g., calendar availability, review-platform activity) — limited to what that automation requires.

3. How we use it

  • To deliver, monitor, and improve the specific agents and automations built for you.
  • To respond to inquiries and manage the engagement (billing, support, scoping).
  • To diagnose issues with a deployed system, including reviewing logs when something needs debugging.

We do not sell personal information, and we do not use client data for advertising.

4. AI processing

Our agents call AI models — either self-hosted or via third-party LLM providers — to generate responses, summaries, or decisions. Data sent to a third-party model provider is governed by that provider's own data-handling terms as part of our processing agreement with them; we do not permit those providers to use client data to train their general-purpose models beyond what their standard API terms already exclude. We do not train our own models on one client's data and apply it to another client.

5. Data isolation

Client data is logically separated by account in our systems (tenant-based architecture). Access is scoped by role, and platform-wide administrative access is limited to the team members who need it to operate the service.

6. Who we share data with

We share data only with service providers necessary to run the systems you've engaged us to build, for example:

  • Cloud infrastructure and database hosting.
  • Email delivery providers, for automations that send email.
  • AI model providers, for automations that use AI.
  • Calendar, payment, or social-platform providers you've explicitly connected.

We don't share data with anyone else without telling you.

7. Retention

We retain engagement data for as long as the engagement is active, plus a limited period afterward for records and legal purposes. You can request deletion earlier, subject to any data we're required to keep by law or by an active third-party integration.

8. Your choices

You can ask us what data we hold about your business, correct it, export it, or request deletion at any time by sending us a message. If you're an individual whose data was processed by one of our clients' automations (for example, a customer who called a client's voice agent), that request should generally go to the business you interacted with; we'll assist them if needed.

9. Facebook & Instagram platform data

When a client connects a Facebook Page or Instagram Business account to enable an automation — for example, scheduled posting or engagement reporting — we request only the Meta permissions that automation needs: page listing and management, page engagement reading, and Instagram content publishing. We use this access solely to operate the connected client's automation and do not use it for advertising or share it beyond the service providers listed in Section 6.

Removing access: the client who connected the account can revoke our access at any time from Facebook's Business Integrations settings (Settings → Business Integrations) or, on a personal account, Settings → Apps and Websites. This immediately stops any further access to the Page or Instagram account.

Deleting stored data: to request deletion of any Facebook- or Instagram-sourced data we've already stored, contact us at our contact page with the name of the connected Page or Instagram account. We will delete that data within 30 days of a verified request, except where we're required to retain it by law.

10. Children

This website and our services are directed at businesses, not individuals under 13.

11. Changes to this policy

We may update this policy as the business evolves. Material changes will be reflected by an updated date at the top of this page.
